Full Executive Assistant (EA) support to one fee earner or partner within the practice – see EA job description.

Support, development and performance management of a team of Executive Assistants and Team Assistants, ensuring the team motivated and providing support to the practice that is effective.

The role pays £44 – 44.5K

Responsible for annual and mid-year appraisals: working with lawyers to hold appraisal meetings, coordinate feedback and set objectives, including feedback for probation reviews, and participation in practice-wide moderation meetings.

Building strong relations with internal departments to promote utilisation of appropriate resources, in particular ensuring admin work is delegated to Team Assistants, documents are sent to Document Production and volume printing is sent to Reprographics.

Ensuring appropriate resources within the department and people issues such as sickness, timekeeping or performance are addressed or escalated.

Facilitate and monitor fair distribution of workload and ensure cover is provided for absences or peaks, whilst ensuring excellence levels are maintained.

Encouraging the development and growth of the team by acting as coach, mentor and sounding board and identifying any training or development needs with L&D, HR and management.
Assisting in the recruitment of and selection of team members, including shortlisting, scheduling, testing, interviewing and selecting candidates.
Acting as a “go to” person in coordinating issues relating to cover, equipment, room moves, trainee rotations, pairings, facilities or ad hoc requests.
Reviewing and implementing process improvements, working closely with support managers and team leaders to utilise improved technology, best practice or better ways of working.

Keeping accurate records and ensuring adequate cover for holiday and sickness, including holding individual return to work meetings when required.
Arranging and chairing regular team meetings to share ideas or issues, dealing with action points raised and ensuring communications and updates are regularly passed to the team.

Working closely with HR on flexible working requests, family leave, secondments.
Coordinating the arrival of new team members and arranging buddies, inductions and introductions to the team.

Working closely with SSM and Team Leaders across the firm to develop and maintain a strong network and cross practice working and consistency of approach
Ensuring timely submission of departmental information (such as timesheets, narratives) and providing regular reports to management.

Organising regular or ad hoc training sessions required by team or Expertise lawyers, including promptly updating data records in LMS.
Assisting with the development and implementation of firm initiatives or change programmes, including coordination of projects (i.e. Work Experience, Trainee Programme) and other projects as they arise. Works closely with a paired Team Leader (buddy Team Leader) to ensure coverage is always provided to paired practice area during absence or holiday.
Ensuring firm’s policies and procedures are followed.

The applicant should have at least 2 GCSEs of which one should be English Language and another preferably Maths at grade C and above,IB points of 24 or equivalent.

What did you enjoy about the courses?

There was not a complete focus on the Legal aspects of the role of a Legal Secretary and it was suitable generally for any secretarial, administration or PA role. It was excellent as I got a wide range of skills including Word Processing, Filing, Health & Safety and more. You can apply to Legal Secretary or Admin, Secretary or PA role.

In what ways do you feel that the course has benefited you?

I gained confidence on the job and to apply for a new job, I got my current job while I was still at Souters.

In particular, how has it benefited your career?

In my first ever job as a Secretary, I was able to take the initiative under the mentorship of my boss. I set up new filing systems, word processing templates and new Health and Safety procedures. My manager actually trusted me to take on a lot more responsibilities as a result of the qualification.

Studying in your own time shows organisation, motivation and ambition which will help you get a job or a promotion.

What do you advise to anyone who is considering taking the course?

You should try to do the course and get the qualification. It gives you so much including a recognised qualification, greater confidence and effectiveness in the workplace.

Try to get some work experience to compliment the training as this will help.

What are your future aspirations in your career?

I would like to work at the offices of a larger organisation as an Office Manager or Executive Assistant. I would also like to work in Legal.

Would you consider taking another course to further your career and skill set?

I am currently taking a Bookkeeping Course as this was fundamental to working in my role. I have also started a BA at University (Management with Portuguese).

What courses did you complete at Souters?

The Executive PA Diploma which is in two parts commencing with the Secretary PA Diploma and ending with the Executive PA Course.

What did you enjoy about the courses?

This training course offered me an excellent level of exposure in an international environment. I could not find any comparable training course in Switzerland. The training course was generally a good experience and I feel that it has prepared me well in case I decide to move to the UK in future.

In what ways do you feel that the course has benefited you and particularly your PA career ?

The Diploma provided me with the ability to gain a recognised qualification that would enable me to get more jobs, as I had previously failed to get jobs due to a lack of qualification or experience as a PA / EA. Attaining a qualification in London is highly respected in Switzerland and around the globe, as it is an English speaking environment and a global commercial centre. I feel that this will greatly improve my ability to attain a good job at a large company in Zurich, which will increase my salary as well.

Do you feel that travelling to London to do training has benefited you?

It was a good opportunity to gain a well-recognised diploma, as training courses in London are well respected internationally. It also proved my ability to work in an English speaking environment.

What are your future career aspirations?

I would like to get a job in a large international company in Zurich as I need to gain more experience in the field to gain the best jobs, in the future I would like to move abroad to London or maybe further afield. I would also be interested in working as Legal Secretary.

Get an Admin Assistant Job with a Souters Admin Diploma

Justina Barratt came to Souters and opted to take the Administration Diploma, following redundancy. She successfully completed the course and was able to get a new job as an Office Administrator within a couple of weeks of completing her course.

I was unemployed due to a redundancy.

NHS Administrator, I got the job straight after the course.

LUCA Awards success for Souters Bookkeeping Students

Souters Bookkeeping and Finance Training has had a great year in 2014. We have commenced training students in the ICB qualification. This is the Institute of Certified Bookkeepers, which is an international bookkeeping accrediting body.

 

The staff of one of our corporate clients have taken both Paper B1 and Paper B2 of the ICB Level II Manual Bookkeeping.

Our students performed so well that they have managed to attain a 100% pass rate in both papers, out of a class of 17.

This high academic achievement was recognised at the LUCA Awards, which were held at the BAFTA Theatre in Central London.
